Delivering an unforgettable Leadership Summit
Intel471 wanted to bring together key leaders of their Intelligence Department from across the world to set out their strategic goals and aims for 2022 and further, as well as building team spirit. They turned to Gray Dawes Events to organise everything from travel arrangements and accommodation for their 20 delegates, to conference facilities, dining and team building activities.
WHAT WE DID
Gray Dawes Events started by sourcing accommodation and conference options and presenting a range of relevant options to the client. From these, the Renaissance Barcelona Hotel was chosen. Our experience experts then went about sourcing and confirming flight options for the individual passengers attending the event from their various departure points across the globe. Once those were put in place, we liaised with the ground transport provider to secure transfers to and from the airport.
Throughout the event, Gray Dawes Event’s were on the ground to coordinate arrivals and departures, management of the rooming lists for check-in and check-out of the hotel and ensuring that the conference space and facilities were all set up and functioning as per Intel471’s requirements.
Our team also travelled ahead to all off-site restaurants chosen (Casa Rafols, Gala and La Panela) to ensure that these were prepped and ready for the clients arrival. We also confirmed restaurants had catered for all special meal requests, including for those with specific dietary requirements and allergies, to ensure the correct meals would be provided.
To bring some team building (and a little friendly competition!) Go-karting was selected. The karting proved to be a great success, with Gray Dawes Events having organised the entire event, including transportation to and from the karting track, management of the group into teams, organisation of the individual races, and podium ceremonies (and prizes!) for individual competitors and teams.
As the event took place whilst COVID restrictions were still in place, we were also responsible for ensuring all passengers were provided with correct information and entry requirements, and that they had taken all relevant tests ahead of their arrival. Within a dedicated space at the hotel, the Gray Dawes Events team also oversaw the daily COVID testing of the group whilst in Barcelona, plus additional tests needed prior to travel to adhere to the requirements of country’s that guests would be returning to.
On the first night of the event, one of our passengers contracted COVID19. We worked with the hotel to ensure that the local guidelines were adhered too and the guest was fully aware what he could/could not do. Additional tests were sourced in advance to ensure that anyone else feeling unwell could be provided with an immediate rapid test and could be quickly quarantined from the wider group if needed.
Overall the event exceeded the clients expectations and we received excellent feedback both from the guests on site and our main contact after the event. The client was impressed with the overall organisation of the whole event and the quick response to any issues that came up onsite.
